Gifts & Donations Policy:

Materials

The City of Sundown Library periodically accepts gifts of books and other materials with the understanding that items added to the collection must meet the same criteria as purchased materials. The library retains the authority to accept or reject gifts, and to make all decisions as to their use, housing, and final disposition. All gift titles added to the collection must be approved by the Library Director. The library staff does not appraise gift materials for tax purposes.

Cash (Monetary)

The City of Sundown Library accepts cash gifts for the purchase of books and other materials. Donors may suggest subjects or titles, but the gift purchases must meet the same criteria as other materials added to library collections. The donor may suggest the recipient agency, but the library retains the authority to make all decisions as to the selections and placement of materials purchased with gift funds. All materials selected with gift funds must be approved by the Library Director. The library retains the authority to accept or reject cash gifts depending on any restrictions or special conditions imposed by the donor.

Book Donation Guidelines

To assist those who would like to help the library in keeping its collections vibrant and of interest to its patrons, the following guidelines have been developed.

  1. Our capacity allows for these genres: JUNIOR mystery fiction, JUNIOR general fiction, JUNIOR graphics or comics, and JUNIOR non-fiction. Books that are not of wide appeal to our patrons will be dispersed.
  2. Unless they specifically refer to Texas or the South Plains region, we cannot accommodate reference materials. With the widespread availability of information on the Internet, our patrons prefer to access those sources for facts that are current. Old dictionaries and encyclopedias have little or no value to our patrons or in our book sales. This is also true of outdated technical books.
  3. The library accepts only materials that are new or gently used. Books that are soiled or have signs of mildew cannot be mingled with other materials, and the library is not sufficiently staffed to handle disposal of these items. Please limit your donations to books that are in good condition.
  4. When books are donated to the library, the staff first determines whether the book is already in its collection. If so, the copy that is in better condition is kept and the duplicate is dispersed according to department policies.
  5. If your donations meet these guidelines and you have more than a few books to donate, please contact Library Director A’ndrea McAdams at 806.214.3099 or via e-mail at sundownlibrary@gmail.com discuss your donation.
